We are hiring one (1) Full Time, Permanent Dispatch position working out of Kincardine, ON.

 

This opportunity open to Internal and External candidates!

 

The Dispatch Clerk is accountable for support associated with scheduling, coordination, dispatching and reporting required for the operation of the team. This includes completing administrative duties with the day to day scheduling, dispatching of technicians and scheduling/assigning service orders within Elements.

 

What you'd be responsible for

 

  • Providing input to the General Manager, Natural Gas plans and directions, and ensure on-going appropriate relationships with other positions.
  • Ensuring the delivery of optimal results against appropriate performance metrics. meeting customer expectations or operational effectiveness and efficiency outcomes such as productivity, quality, reliability, and on time delivery
  • Strong focus on customer service for all customers by quickly responding to requests, solving scheduling issues and conflicts, and engaging customers to better address their needs. Ensure customer requests are completed in a timely manner.  
  • Scheduling and dispatch of technicians.
  • Receiving and answering emergency and non-emergency calls and emails. Record all calls.
  • Receiving and dispatch orders. Assessing situation and prioritize calls. Preparing paperwork for technicians before they leave the shop.
  • Ensuring tasks scheduled in Ganttic have been properly assigned to the technicians in Elements. Complete proper cross-referencing.
  • Effectively schedule work, communicate with field and office staff, and create high levels of customer satisfaction.
  • Establishing effective positive, professional working relationships with a variety of people under pressure and adapts to change.
  • Prioritizing daily tasks in a fast-paced environment with potentially multiple conflicts and a high volume of work.
  • Coordinate building and yard maintenance including liaising with external partners to arrange office cleaning, pest control, snow removal, grass cutting, and general building maintenance. This includes scheduling contractors required to work on site.
  • Responsible for organizing and planning group meetings and events (sending out meeting invites, booking space, ordering food), work with JHSC to order proper signage, responsible for order general office and shop supplies.
  • Providing general administrative support to General Manager.
  • Assist Public & Government Affairs with coordinating community events in South Bruce, from start to completion.
  • Demonstrate a high performance, high discipline, safe, accountable, focused, innovative and achievement-oriented, easy to do business with manner of working.

 

What's required to be successful

 

  • Grade 12 Diploma or GED equivalent is required.
  • Two-year post-secondary diploma in Administration would be considered an asset.
  • 2+ years related work experience in Dispatch.
  • Strong working knowledge of MS Office Suite.
  • Training and experience with dispatching software.
  • Extensive experience with a customer focused approach to work - influences and manages customers' needs and expectations with above average result.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
