The team 


Partnering with University leaders and employees, the Talent Management Centre of Expertise (TMCoE) designs services and programs that attract, develop and retain a talented, engaged and inclusive workforce.  The TMCoE is a central resource connecting leaders and employees to relevant and innovative learning and development support throughout the employee lifecycle from onboarding to offboarding. Our integrated talent management strategy connects all HR services and aims to meet the current and future needs of the organization by fostering a flexible, high performance, and high commitment workplace with timely and inclusive programs that are aligned with the University's strategic plans and values. Our diverse team includes subject matter experts (SME) who are human resources leaders, learning & development professionals, and instructional designers who collaborate across the institution.

The Opportunity

The TMCoE is looking for a Coordinator, Talent Management to join the team. In this role, you will be responsible for reviewing, planning, coordinating and streamlining administrative processes as well as providing administrative and learner support services for the Talent Management Centre of Expertise (TMCoE) unit. You will ensure the efficient delivery of high quality service for virtual and in-person learning events, and elearning, while maintaining the confidentiality of the TMCoE's office and of employee information.
 

Other responsibilities include:

  • Regularly delivering technical event support and facilitates event and speaker introductions.
  • Drafting and editing TMCoE documents such as minutes of meetings, descriptions for training programs/events, guides, flyers, and reports.
  • Assisting with the development of reports on TMCoE metrics including cost estimates and annual analysis of TMCoE activities.
  • Assisting the Lead, eLearning and eLearning Specialist in administering the Learning Management System (LMS), including user management, course assignments, and troubleshooting. 
  • Providing user support and guidance on LMS functionality and processes as needed.
  • Acting as the first point of contact for TMCoE for information on queries on learning initiatives.
  • Creating and maintaining vendor records, sources and co-ordinates with internal stakeholders and external vendors and suppliers, preparing cost estimates, confirming and filing contracts.
  • Preparing event related and annual unit budgets, monitoring and reconciling unit expenses, tracking related invoices and receipts including identifying and resolving discrepancies.
     

Qualifications
To help us learn more about you, please provide a cover letter and resume describing how you meet the following required qualifications:

  • Completion of post-secondary education in Training and Development, Human Resources, Business Administration or related field.
  • Minimum of two to four (2-4) years of relevant work experience in office coordination and administration, including supporting department budget management processes and event planning. 
  • Experience working with online learning platforms (.e.g Learning management systems), databases, word processing, spreadsheets and presentation applications.
  • Experience in coordinating projects and events, including scheduling, logistics planning, and resource management, ensuring smooth execution of training sessions and workshops.
  • Exceptional ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
  • Understanding of budget planning and monitoring, with the ability to assist in tracking department related expenses, preparing budget reports, and ensuring expenditures align with the allocated budget.
  • Demonstrated strong verbal and written communication skills in interactions with various stakeholders, including employees, vendors, managers, and participants.
  • High level of accuracy in data entry, record-keeping, and document preparation, ensuring all training materials and records are up-to-date and error-free.
  • Demonstrated ability to write, proofread, and edit various types of documents to ensure clarity, accuracy, and engagement.
  • Computer skills and competency with Google Suite (Docs, Sheets, Slides, etc.), MS Office and other relevant software applications, with the ability to learn new tools and technologies quickly.  Proficiency in operating audio-visual and multimedia presentation equipment, including setup, troubleshooting, and integration with various software platforms (Zoom, GMeets, LMS, etc).
  • Ability to identify issues, analyze information, and develop effective solutions, especially in relation to Learning Management System (LMS) administration and training logistics.
  • Ability to maintain communication and engagement channels including content updates, troubleshooting, and ensuring user-friendly navigation and functionality.
  • Advanced research skills, adept at gathering and synthesizing information from diverse sources to support decision-making and project requirements.
