The Team

The Office of the Registrar (RO) contributes to Toronto Metropolitan University's bold vision by providing the bedrock of innovative systems and structures required to build a world-leading institution. Every member of the university community is an RO client. The RO is involved in the entire academic experience of the student body from admission through to graduation, providing reliable support through a wide range of services and safeguarding the integrity of the university's policies and student records. We provide expert guidance to academic leaders regarding student recruitment, admissions, student financial services, student fees, new programming initiatives, transfer credit, course offerings, grading processes, scheduling, academic policy and curriculum management. 



The Opportunity

The Manager, University Scheduling and Exams will manage and lead the planning and delivery of high quality faculty and student course schedules, final exams and facility schedules that balance the needs of students, faculty and programs and senior administration requirements. This role is responsible for managing automated scheduling systems including testing and making recommendations to enhance the system. The successful candidate will oversee the collection of research related to scheduling and examinations and make recommendations on findings to support the Registrar's Office (RO) and TMU priorities. Lastly, this role will oversee the budget for the scheduling and examinations unit.

Key Responsibilities: 

  • Leads the day-to-day operations of the University Scheduling and Examinations unit and develops tactical plans and operational requirements to ensure the delivery of high quality effective and efficient support for faculty, academic departments and other university stakeholders. 
  • Oversees the production of high quality faculty and student courses and examinations schedules as well as facility schedules. Ensures schedules maximize the efficient use of facilities and balance the needs of faculty, students, academic programs and senior administration. 
  • Oversees and participates in the collection, research and preparation of analytics for classroom and exam data and prepares statistical reports including classroom utilization each term and academic year.

Qualifications

  • Successful completion of a post-secondary degree, preferable in a business administration with a focus on big data and data analytics or a related field. 
  • A minimum of 5 years experience in post-secondary education with responsibility for scheduling and related processes 
    • Experience developing and managing business processes, developing and implementing strategic and tactical plans. 
    • Knowledge and proficiency with using Infosilem is an asset. 
    • Experience with working with complex situations. 
    • Experience with the delivery of high quality client service, specifically in a higher education environment. Experience managing staff in a unionized environment. 
  • Strong leadership, supervisory and management skills; ability to motivate, mentor and coach staff in order to coordinate, leverage and support university initiatives and operational workflow; Strong analytical, research and decision-making skills required to support scheduling duties and business processes; 
    • Outstanding time management, organizational, investigative skills and analytical skills; Ability to coordinate a large volume of complex work with competing priorities, meet and exceed timelines; 
  • Superior written and oral communication skills to write proposals, summary documents, standard operating procedures and training documentation; 
  • Ability to employ good judgment and decision making; 
    • Demonstrated initiative and ability to work well under pressure and meet competing priorities;\\
    • Excellent listening and interpretation skills, ability to interpret complex policies and procedures; Ability to develop new work methods to deal with new or unusual circumstances; 
  • Strong presentation/public speaking skills; 
  • Interpersonal and mentorings skills to deal effectively with people of diverse backgrounds, personalities and needs; 
  • Strong conflict resolution and negotiation skills to resolve issues and complaints fairly and effectively; Ability to demonstrate resilience and agility and flexibility in the workplace; 
  • Analytical skill in research compilation of statistical data and interpretation of the data in order to implement policies and procedures; 
  • Working knowledge of integrated systems, designing business processes, configuration and testing functional processes; ; 
    • Comprehensive knowledge of Ontario, Canadian and International post-secondary systems, policies and practices. 
    • Proficient with Microsoft Office, extensive experience using Word and spreadsheets, integrated databases such as Peoplesoft and Google Suite applications.
