We are now seeking a dedicated Administrative Assistant to enhance our team in Halifax, Nova Scotia. This role is crucial for the efficient operation of the company comprehensive service. The successful candidate will be tasked with: Organize and maintain company records, contracts, and confidential client information, ensuring proper documentation and accessibility. Draft, format, and proofread reports, business correspondence, and client proposals to ensure clarity, accuracy, and adherence to company standards. Oversee digital and physical filing systems, ensuring proper categorization and retrieval of documents. Arrange schedules, set up meetings, and coordinate travel plans for management and consultants. Support the preparation of marketing materials, business presentations, and client reports to facilitate business development efforts. Handle client inquiries, emails, and phone calls, directing them to the appropriate personnel and ensuring professional communication. Assist with processing invoices, expense tracking, and general office bookkeeping tasks as required. Establish and refine office procedures to improve efficiency and ensure smooth day-to-day operations. Monitor office supplies, manage inventory, and coordinate with vendors for office-related needs. Requirements: Strong organizational and planning skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and electronic document management systems.
